Email, short for electronic mail, is a method of sending and receiving messages over the Internet. Instead of writing a letter, putting it in an envelope and posting it, we can type a message on our computer or phone and send it to a person anywhere in the world in a matter of seconds. Email can carry not only text but also attached files such as documents, images and videos. It has become one of the most widely used tools for personal and official communication.
A computer network is a group of two or more computers connected together so that they can share data, resources and software. The Internet is the largest network of all, but networks also exist in schools, offices and homes. This chapter explains how email works, how to create and use an email account, the parts of an email message, the types of computer networks, and the benefits and needs of networking.
Email works in a client-server model. An email client is the software or website we use to read and send emails, such as Gmail, Outlook or Yahoo Mail. An email server is a computer that stores the mailboxes of users and transfers messages between them. When we send an email, our client sends the message to the outgoing mail server, which uses a protocol to send it to the incoming server of the recipient, and the recipient reads it through their own client.
The main protocols used in email are SMTP, POP3 and IMAP. SMTP, which stands for Simple Mail Transfer Protocol, is used to send outgoing emails. POP3, or Post Office Protocol version 3, downloads the emails to the local device, and IMAP, or Internet Message Access Protocol, keeps the emails on the server so they can be read from many devices. Understanding these protocols helps us know how messages travel from the sender to the receiver across the network.
To use email, we need an email account. To create one, we visit a free email provider such as Gmail, Outlook or Yahoo, click on Sign Up, and fill in our details, including our name, date of birth and a chosen password. We should choose a strong password and keep it secret. After creating the account, we can access it from any device with an Internet connection by logging in with our email address and password.
An email address has a unique format. For example, in the address student123@gmail.com, "student123" is the username chosen by the user, the "@" symbol is read as "at", "gmail.com" is the domain name of the email provider, and ".com" is the top-level domain. No two users can have the same email address, so every email address in the world is unique. We should choose a username that is professional and easy to remember, and we should never share our password with anyone.
An email message has several parts. The To field contains the email address of the person we are sending the message to. The Subject field is a short line that tells the receiver what the email is about. The Cc field, which stands for Carbon Copy, is used to send a copy of the email to other people, and the Bcc field, Blind Carbon Copy, sends a copy without letting other recipients see the address. The body is the main text of the message.
To send an email, we click the Compose button, enter the recipient's address in the To field, type a subject and the message, and then click Send. We can attach files to an email using the attachment button, which appears as a paperclip icon. After sending, the email is stored in the Sent folder. Incoming emails are stored in the Inbox. We can also reply to a sender, forward an email to someone else, and file emails in folders. When we are done, we should always log out of our account, especially on shared computers.
A computer network is formed when two or more computers are connected to share data and resources. Networks are classified by their size and area. A LAN, or Local Area Network, connects computers in a small area such as a school, office or building. A MAN, or Metropolitan Area Network, covers a city. A WAN, or Wide Area Network, covers a large area such as a country or the whole world, and the Internet is the largest WAN.
Networking offers many benefits. It allows us to share files, printers and an Internet connection among many computers. It enables fast communication through email and video calls. It allows centralised storage, so data can be saved on a central server and accessed from anywhere. Networking is used in schools for computer labs, in offices for shared work, and in homes to connect phones, computers and smart TVs. Understanding networks helps us appreciate how the Internet and email actually work.
